Control agent schedule visibility overview

Schedule visibility controls let workforce management administrators control how far into the future agents can view their published schedules.

By default, agents may see published schedules well in advance. However, some organizations may use future schedules for planning, expect them to change, or prefer to make them visible only at a specific time. Limiting schedule visibility reduces confusion, promotes consistent communication, and gives organizations greater control over when agents can access future schedule information.

Administrators configure this setting at the management unit level. Agents in the management unit can view only the schedule dates that fall within the configured visibility window.

Why use schedule visibility controls?

Use schedule visibility controls when your organization wants to:

  • Prevent agents from viewing future schedules before they are ready.
  • Reduce confusion from early or placeholder schedules.
  • Comply with regional or business policies that determine when schedules become visible.
  • Give workforce management teams greater control over when they communicate schedules to agents.
  • Provide a consistent schedule view across supported agent applications.

For example, an organization might publish schedules several weeks in advance for planning but limit agent visibility to the current week and the following two weeks.

 

Configure schedule visibility

To configure schedule visibility, perform the following steps:

  1. Click Menu > Workforce Management > Workforce Management Configuration > Management Units.
  2. In the Management Units page, select the management unit that you want to configure.
  3. In the Management Unit page, click the Scheduling tab. 
  4. Enable the Agent Schedule Visibility Restrictions toggle.
  5. In the Weeks in Future field, enter the number of future weeks that agents can view.
  6. Click Save.

The updated visibility window takes effect the next time agents refresh their schedule view. You do not need to generate a new schedule.

Configure visibility range

You can configure schedule visibility from the current week only through an extended future window.

  • The minimum setting is Current week + 0 future weeks.
  • The maximum setting is Current week + 109 future weeks.

When schedule visibility restrictions are enabled, the default setting is Current week + 0 future weeks.

How schedule visibility affects agent experiences

Key considerations

When using schedule visibility controls, consider the following:

  • Agents may need to refresh or reopen their schedule view to see saved changes.
  • Opportunities and coaching or learning assignments have their own visibility behavior and are not controlled by the schedule visibility setting.
  • Time off information can appear without revealing hidden schedule details.
